Who can check out music?

Only
Ward Choir Directors may check out the music. Ward Choirs directors will be
given training/guidelines on proper usage procedures.
·
Others
needing to use the music will need to first get permission and guidelines from
the Stake Music Librarian.
Where and when to access sheet music
·
Choir music is stored in the Stake Center library. You can access the library on Sunday during
the 2nd hour of any of the wards.
·
If
you need to access the library during a different time, contact Wendy.
Checkout Procedure
1) Remove the music you are borrowing
from the manila folder and place in a music Checkout Folder.
2) Place a completed yellow Checkout
Slip in the manila music storage folder.
3) Leave the manila music storage folder
in its place in the box on the shelf.
4) Fill out the information on the
Checkout List in black 11” x 14” binder on shelf.
Check-In Procedure
1) Replace music in the manila music
storage folder.
2) Discard yellow Checkout Slip.
3) Return Checkout Folder to shelf.
4) Mark on Checkout List date performed
or not used and other information.
Music should be returned within a
month after you are done using or have decided not to
use it.
Why the manila folder the music is stored in can’t be taken
1) They tend to get battered, torn or
lost.
2) If the manila folder is left in its
place, then other choir directors looking for music can easily see what is
available, even if the music is checked out.
3) It provides a place to put the yellow
checkout slips so they aren't poking out of the boxes, which just looks nicer
and more orderly.
How the sheet music is arranged/grouped

The
music is grouped by genres - General Purpose, Christmas, Easter, Thanksgiving
and Patriotic.
·
Some
music classified as Easter or Christmas could easily be used at other times as
well as it is about the Savior.
·
Books
like Hymnplicity, Hymnal Helper and Hymns of Worship
that have enhanced accompaniments that can be used with regular Hymn books are
located on the shelves below the checkout folders and list along with any
copies made to work with these books.

Instant
Choir / Pop-Up Choir – in the same area where the Hymnplicity
books are there are a couple of books called “That All May Be Edified” designed
for Instant Choirs. Everyone sings in
unison to a beautiful accompaniment. I’ve
done several of these in my ward and they’ve worked wonderfully. I make a copy of just the melody line and
pass the music out to likely suspects as people gather for Sacrament
Meeting. The copies of the handouts with
the melody lines are there for ones I’ve done.
Purchasing/Copying New Music Procedure

Make
sure you have checked to make sure there aren't copies of existing music before
purchasing or copying new music.
·
Wards
are given a budget to purchase new music if needed, but the music will be owned
by the stake, not an individual ward. Music will be stamped as being property
of Grove Creek Stake.
·
All
church owned music is to be kept at the Stake Center library.
·
Place
new music in the holders labeled New Music with a completed New Music
Information slip.
·
Contact
Wendy to let her know there is new music that needs to be cataloged.
·
If
you are making copies of music that you have purchased, make sure to include a
copy of the receipt or proof of purchase - if it looks like it was copied
without permission, it will be discarded.

If
you have received permission to make copies of copyrighted music, include that
information.
Copying Music
·
Consider
copying on 11 x 17 paper to make much nicer folded booklets instead of stapling
together 8.5 x 11 sheets of paper.
·
Instructions
on how to copy on 11 x 17 paper are included in a tab in the Google spreadsheet.
·
Only
make copies of music if it is not copyrighted or allowed by the copyright
(copied for non-commercial use, etc.).
